This policy explains how FairerQuote.uk handles personal information when people create accounts, customers post work, businesses submit offers and the platform processes successful-job fees.

Data controller

Information we collect

This may include your name, email address, phone number, postcode, password in securely hashed form, job descriptions, quote values, uploaded quote documents or images, business details, offers, account status, payment references, support communications, security information, IP-derived security identifiers, server logs and account activity. The site may also store language, layout and app-install preferences on your device.

Please avoid uploading unnecessary sensitive information, identity documents, bank details or information about other people. Where a quote document contains third-party information, only upload it where you have a legitimate reason and permission to use it for obtaining alternative quotes.

When a business pays a FairerQuote.uk fee, Stripe processes the card and payment information. FairerQuote.uk receives payment identifiers, status, amount and related transaction information but does not receive or store the full card number.

How information is used

Information is used to operate the quote-comparison service, provide and secure accounts, publish suitable job information, deliver offers, manage provisional selections and contact exchange, process and reconcile fees, prevent fraud and misuse, handle support and disputes, keep business records and meet legal obligations.

Legal bases

We process information where it is necessary to provide the service or perform a contract, where required by law, where we have a legitimate interest such as operating and securing the platform, preventing fraud, keeping appropriate marketplace records or dealing with disputes, and where consent is required. You may withdraw consent at any time where processing depends on consent, without affecting earlier lawful processing.

Public and private information

An active job listing may show the work description, approximate postcode area and current price. Public records of completed jobs show only the general work category and the price of the accepted offer. Completed public records do not show customer or business details, the original title, description, location, photos, private messages or original quote documents. The customer and administrator retain access to their private job records.

Before a business wins a job, it does not receive the customer's private contact details or original quote document. Contact details are shared only between the customer and selected business after the business confirms and the success fee is paid or waived. The selected business may then receive the customer's name, email, phone number where provided and exact postcode.

AI quote analysis

If you choose quote analysis, FairerQuote.uk saves your documents in a private queue. The administrator's authorised ChatGPT connection can read those documents and return an analysis of the scope, prices and unclear items for you to review. The documents are processed by OpenAI in ChatGPT. This feature uses the connected ChatGPT account's data settings; it does not use the former API response-storage setting. See OpenAI's ChatGPT data controls for information about those settings.

Temporary analysis requests expire after 7 days. Their queued documents and results are removed during the next queue cleanup. Published job documents are kept separately under the retention arrangements below; copies in ChatGPT are governed by the connected account's settings. You may enter the job details yourself without requesting analysis.

The original uploaded document remains private from other FairerQuote users and is access-controlled on FairerQuote.uk. The generated marketplace analysis is designed to remove names, contact details, exact addresses, quote references, signatures, banking details and other identifying information before it is stored or shown publicly. You should review the generated analysis before publishing because automated extraction and redaction can make mistakes.

The AI analysis assists with data extraction only. It does not automatically choose a business, accept an offer, determine whether a price is fair or make another decision that produces legal or similarly significant effects for the customer. The customer makes the selection decision.

Sharing and service providers

Information may be shared with the customer or selected business as described above and handled by providers supporting hosting, email, payments, AI processing, backups and security. Stripe acts as the payment provider for success-fee payments. OpenAI acts as the AI service provider when you use quote analysis. We do not sell personal information or customer lists. Information may also be disclosed where required by law or reasonably necessary to protect users, investigate fraud, enforce our terms or establish legal claims.

If UK digital-platform reporting rules or another legal reporting duty applies to FairerQuote.uk, we may need to collect or verify additional information about active business sellers and provide required seller, transaction, fee or tax-identification information to HM Revenue & Customs or another competent authority. Where required, affected sellers will be provided with the information or notice required by law.

International transfers

Some service providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an adequacy regulation, approved contractual protections or another lawful transfer mechanism.

Retention

We keep personal information only for as long as reasonably necessary for the purposes described in this policy. Account and job information may be kept while an account or marketplace record is active. Original quote documents are kept only for as long as reasonably necessary for the job, support, fraud-prevention and legal-record purposes, after which they may be deleted or anonymised subject to backups and legal requirements. Payment, contract, complaint and tax records may generally be retained for up to 6 years after the relevant transaction or relationship ends. Other information is deleted or anonymised when it is no longer needed.

Security

Passwords are stored as one-way hashes. Uploaded files are kept behind account access controls, and original quote documents are restricted to the customer and administrator. The service uses HTTPS for data in transit. No online service can promise absolute security.

Your rights

UK data-protection law may give you rights to access, correct, delete or restrict use of your information, object to some processing and request a portable copy. These rights can depend on the circumstances and legal exceptions. To make a request, email fairerquote@gmail.com. You may also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.

Cookies and local storage

The account system uses an essential session cookie for secure sign-in. A language preference may be stored in a cookie and local storage. The site also uses local storage for user-requested interface preferences such as job-list layout and whether the app-install prompt has recently been dismissed. This release uses no advertising cookies and no optional analytics cookies. If non-essential analytics, advertising or similar tracking is introduced, the website will provide the required notice and controls before using it where consent is required.

Children

FairerQuote.uk accounts are for people aged 18 or over. If you believe a child has provided personal information, contact us so that we can investigate and take appropriate action.

Changes to this policy

We may update this policy when the service, providers or legal requirements change. The latest version and updated date will be published on this page.
